Overview

NICE HMS supports two printing workflows through two separate admin pages:

WorkflowHow It Works
Plain paper + digital headerUpload a letterhead image. The PDF includes it at the top — content flows below.
Preprinted stationeryUse physical paper that already has the letterhead. Configure how many lines to skip at the top and bottom so content aligns with the preprinted design.

Both are configured from the Organization Uploads page. Doctor-level uploads handle signatures, OPD print templates, and personal letter pad headers.

Access differs by page: the Organization Uploads page is limited to the admin role; the doctor-level upload pages are available to admin, director, and doctor roles.

Organization-Level Setup

Access

Sidebar → Admin → Uploads (/admin/admin/org/uploads/{organizationId})

This page has two sections:

Image Upload

Upload a letterhead image — this is the top strip of your letter pad (logo, clinic name, address, registration numbers), not a full-page background. The system renders content below it.

Paper sizes available: A0, A1, A2, A3, A4, A5, A6, Letter, Legal, Ledger, Tabloid

Paper size is chosen per upload, not set globally — you can have different sizes for different header types.

Preprinted Stationery Configuration

If you use physical preprinted letterhead paper, configure how much space to reserve so printed content doesn't overlap the preprinted design.

Doctor-Level Uploads

There are two pages for doctor-level images:

Signature and OPD Print (Admin)

Sidebar → Admin → Doctor → Uploads (/admin/admin/doctor/uploads)

  1. Select a doctor from the dropdown.
  2. Choose the image type:
    • Signature — doctor's signature image, appears on prescriptions
    • OPD Print — custom print template overlay (e.g., an eye diagram for an ophthalmologist)
  3. Select a Paper Size.
  4. Upload the image (PNG, JPG, GIF, or WebP — not SVG; max 200 KB; up to 4 files).

Personal Letter Pad Header (per doctor)

Use this when each doctor needs their own letterhead.

Sidebar → Doctor → (select doctor) → ID — opens /admin/doctor/doctor-mangement/{doctorId}?docuserid={userId}. Both values are the doctor's ID.

  1. Open the doctor's page from the ID column of the doctor list.
  2. Under Upload Image For Doctor Personal Letter Pad Header, choose the header type (Letter Pad Header) and a Paper Size.
  3. Upload the image — PNG, JPG, GIF, or WebP (SVG is not supported), max 200 KB.
  4. The upload saves immediately. Uploading again replaces the previous image.

Notes:

  • Who can do it: admin, director, and doctor roles. A doctor can set their own letterhead; an admin or director can set it for any doctor.
  • One doctor at a time. There is no bulk upload — open each doctor's page and upload separately.
  • No personal header set? That doctor's documents fall back to the organization's Patient Record Header.

What the doctor header overrides

A doctor's personal header replaces only the Organization-level Patient Record Header, and only on the documents that doctor authors:

DocumentWhich header is used
PrescriptionDoctor's letter pad header, else Org Patient Record Header
Initial AssessmentDoctor's letter pad header, else Org Patient Record Header
OP ConsultationDoctor's letter pad header, else Org Patient Record Header
OPD slipDoctor's letter pad header, else Org Patient Record Header
Discharge SummaryOrg Patient Record Header (doctor header is not applied)
Case Sheet, Immunization, WellnessOrg Patient Record Header
Diagnostic Reports, Health DocumentsOrg Report Header, else Org Patient Record Header
Invoices, bills, receiptsOrg Account Header (Pharmacy/Lab variant when set) — never the doctor header

The doctor's Paper Size applies to Prescription, Initial Assessment, and OP Consultation. Other document types use the organization's paper size for that header type.

How Headers Appear on Prints

  1. Generate the document (prescription, invoice, report, discharge summary).
  2. The PDF opens in a new browser tab with the appropriate header image at the top.
  3. Press Ctrl+P (or Cmd+P on Mac) to print, or save as PDF.

The header auto-selects from the table above. It is resolved from the author practitioner of the document — so a prescription written by Dr. A but printed by reception still carries Dr. A's letterhead.

For preprinted stationery, the configured header/footer lines and margins tell the PDF generator where content starts — the uploaded header image is not rendered; the physical paper already has it.

FAQ

Q: What image format is required? A: Any common raster image — PNG, JPG, GIF, or WebP. SVG is not supported. The uploader caps the file at 200 KB, so use the top strip of your letterhead (logo, name, address), not a full-page design — a wide, short image compresses best.

Q: Can different doctors have different letterheads? A: Yes. Set a Personal Letter Pad Header on each doctor's page (see Personal Letter Pad Header (per doctor)). It replaces the organization's Patient Record Header on that doctor's prescriptions, initial assessments, OP consultations, and OPD slips. It does not change invoices, lab/radiology reports, discharge summaries, or other documents — those always use the organization's headers.

Q: Can a doctor set their own letterhead, or is it admin-only? A: Admin, director, and doctor roles can upload it. A doctor can manage their own personal letterhead.

Q: Can I set letterheads for many doctors at once? A: No. Headers are uploaded one doctor at a time from that doctor's page.

Q: My doctor's personal letterhead isn't showing on a document. Why? A: Check, in order: (1) the document type — the doctor header applies only to prescriptions, initial assessments, OP consultations, and OPD slips, not invoices or reports; (2) the doctor is the author/signing practitioner of that document; (3) the image uploaded successfully (within 200 KB, not SVG); (4) the chosen paper size matches the paper loaded in the printer.

Q: Can I use preprinted stationery for some documents and plain paper for others? A: Yes. The preprinted settings (header/footer lines and margins) are configured separately from image uploads. You can upload images for plain-paper printing while also configuring preprinted margins for physical letterhead.

Q: What's the difference between OPD Print and Letter Pad Header? A: Letter Pad Header is the top-of-page letterhead (clinic name, logo, address). OPD Print is a custom template or diagram that overlays on the OPD slip content — for example, an eye anatomy diagram for an ophthalmologist's OPD slip.

Q: Do I need to set paper size for every upload? A: Yes. Paper size is part of each upload — you choose it alongside the header type and image. This lets different document types use different paper sizes.

Q: How do I remove or replace an existing header? A: Upload a new image for the same header type. It replaces the previous one.
